Senior Admissions Coordinator

Primary Purpose:
Under the supervision of the Assistant Dean for Admissions, Student Affairs & Diversity, responsible for duties, activities, and events related to admissions for the San Francisco and Sacramento International Dental Studies (IDS) programs. Essential Functions:
  • Advise and provide information to prospective and current applicants regarding IDS programs admissions requirements; ensure completeness of file and fulfillment of admissions and academic/non-academic requirements and request documents as needed; assess and score applications based on rubric;. assist with reviewing criminal background check reports of incoming/admitted students.
  • Plan and manage IDS Sacramento and San Francisco admissions interview programs:
    • Schedule admissions orientation, luncheon/dinner with candidates, school tours, and interviews with faculty, dental students, and student ambassadors
    • Select and pair candidates with faculty and student interviewers, based on specific candidate profiles / qualifications.
    • Facilitate and present candidate critical thinking, ethical, behavioral, and communication assessments and exams.
    • Facilitate student and alumni panel discussions / Q+A

  • Plan and coordinate IDS applicant technical exam program; recruit/guide test proctors, as needed; order and monitor inventory of IDS testing supplies; collect and maintain evaluation scores/information; prepare information, documentation, and data for admissions committee
    review.
  • Process, prepare and distribute admissions documents/correspondence/letters and mailers to include admissions status and decisions: acceptance, alternate, deferrals, and denials.
  • Maintain and manage enrollment/deposit fees, program information, and application processing through admissions application platform(s), CAAPID/WebAdMIT and
    admissions databases/spreadsheets; coordinate, maintain, and update intranet for admitted
    and incoming IDS students; track required documentation from students.
  • Update and prepare accepted student files/applications/transcripts for transfer to the Office of Academic Affairs and Office of Registrar.
  • Coordinate and process certification of finances for admitted students, in collaboration with the International Students and Scholar Coordinator; communicate necessary requirements,
    information, and deadlines; collect and process required forms and documentation.
  • Analyze application cycle, matriculating class, and student data utilized by California dental schools, American Dental Association, American Dental Education Association, admissions
    committee, Offices of Admissions and Academic Affairs; Prepare reports for analysis,
    discussion, and distribution.
  • Participate in yearly planning and evaluation of recruitment and admissions programs; assist with assessment and analysis of recruitment results and management efforts; assist with
    development and implementation of changes; utilize data and market analysis tools to plan
    recruitment and yield strategies.
  • Coordinate and deliver presentations as needed for annual admissions committee meeting, interview orientation, admissions information, and interviewer calibration and training; cofacilitate Executive Admissions Committee meetings.
  • Coordinate IDS outreach/admit events and programs:
    • Accept, admit, and yield events, programs, and initiatives: information sessions, student panel discussions, admissions office hours.
    • Create, develop, and maintain admissions-/dental school-related PowerPoint presentations.
    • Present admissions and general school info on panel discussions to potential students and during admissions activities and events, including interview days, Dugoni Discovery Day, open houses, Discovering Dugoni, recruitment fairs, virtual/on-campus info, and application workshops.
    • Prepare written reports for each recruitment trip/activity for submission to the Assistant Dean and Executive Admissions Committee.
    • Provide school tours for prospective students/current applicants/visitors.
  • Develop, maintain, present, and facilitate pre-dental enrichment course and material for
  • Update and maintain IDS program admissions information and requirements: dental school webpage and online catalog; ADEA / CAAPID program directory.
  • Provide coverage for admissions/student services staff as necessary.
  • Perform all other duties as assigned by Assistant Dean or designee.

Minimum Qualifications:
Knowledge of:
  • Student admissions procedures and protocol.
  • Advanced knowledge of Microsoft Word, Excel, PowerPoint.
  • Principles of business letter/report writing.


Experience:

  • Minimum of three years office experience in graduate program admissions/student services or similar role in a higher education institution.


Education:

  • Bachelor degree.


Working Conditions:

  • Position is full-time, 7.5 hours per day, five days per week.
  • Occasional weekend or evening assignments may occur during various school events.
  • May involve some travel.

Knowledge of:

  • Knowledge of electronic calendar, Sakai, Banner, Qualtrics, Outlook, and WebAdMIT highly desirable.


Experience:

  • Experience in an educational institution: admissions, student services, or academic affairs is helpful.
  • Experience with admission-management software/centralized application services (WebAdMIT and Slate) helpful.
  • Experience in public speaking, including delivering presentations and facilitating and participating in panel discussions.

  • Requires sitting majority of the working day; occasional standing, walking, bending, and reaching.

Hiring Range: 34.25 per hour
