Residential Program Assistant Supervisor
II. Reports to: Residential Program Supervisor/Program Director
III. Qualifications: High School Diploma or equivalent and a minimum of one year related experience is preferred. Valid driver’s license with a driving record acceptable for insurance purposes Acceptable criminal records check (FBI and/or ICHAT), meeting the Agencies definition of acceptable moral character. Basic Computer Skills Written and verbal skills sufficient to complete the job description | |||
IV. Additional Specifications:
Health: Required pre-employment physical including a negative drug screen and negative TB test. Physical requirements will include but may not be limited to lifting (50 pounds), bending, squatting, standing, stooping, kneeling, etc., on a regular basis without restriction.
Knowledge: Have sufficient knowledge to solve unusual as well as commonplace problems. He/she shall have a basic understanding of the resident population as well as specific treatment knowledge and intervention skills.
Supervision: Responsible for assisting in the supervision of all staff in their assigned facility.
Skills: Have the skills necessary when working with the targeted population, monitoring, supervising and evaluating staff members, and general leadership skills.
Judgment: Be able to exercise sound judgment within their assigned areas of responsibility. He/she shall be able to work on a day-to-day basis without immediate direction from the Program Supervisor. The Assistant Supervisor shall be able to handle emergencies as outlined in the Policy and Procedure Manual.
Performance Standards: Adhere to Agency code of ethics Maintain confidentiality of individuals served/co-workers Effective teamwork Interact with individuals served, co-workers and the public in a polite professional manner. Trustworthiness and dependability so individuals and their families feel they can rely on services to be provided.
Levels of Access – Full access to clinical, demographic and financial records at primary location.

VI. Specific Responsibilities: Program Management Responsible to assist the Program Supervisor regarding the daily management, supervision and operation of the facility. He/she shall assume all responsibilities of the Supervisor in their absence, including taking 24-hour call. To attend regulatory agency reviews and audits (i.e., MDHHS, CMH) in the absence of the Supervisor. To ensure that facility staff follows I.M.P.A.C.T. and regulatory agency policies and procedures. To attend all monthly staff meetings and coordinate in the absence of the Supervisor. Monitor documentation required by the Agency and/or other entities to ensure that it is completed accurately and in a timely manner to maintain compliance with regulatory agency standards. To assist the Supervisor to ensure that all records, files, logs, and procedures are kept up to date and are completed in a professional manner such that compliance with all regulatory agency standards is maintained. To report any problems or concerns immediately to the Program Supervisor.
Direct Support Services To assist the Program Supervisor in monitoring the following areas: Immediately report any suspected abuse and/or neglect. Ensure the rights of individuals served are always upheld. o provide new individual/guardian/designated representative with a complete orientation of the home. Assist individuals with daily personal tasks, including bathing, dressing, toileting, teaching self-care skills, cooking meals, doing laundry, etc. Dispense medications to individuals, ordered by the physician, following agency policies and procedures. Encourage individuals’ engagement in social networks and communities. Help individuals organize schedules, plan appointments and transportation. Monitor and complete services for individuals as outlined in their individual plan of service (IPOS). Make recommendations regarding services as needed. Business needs may at times make the following conditions necessary: overtime, work at another agency home, or adjustments in current work schedule. Monitor and ensure that proper administration, documentation and storage of medications is maintained at all times. To attend regular and emergency/special IPOS-Team, psychiatric consultations and/or other meetings as necessary to provide information concerning resident progress in the absence of the Supervisor. To coordinate the scheduling, transportation and follow-up activities for all resident medical/dental appointments in the absence of the Supervisor.

Personnel Management/Supervision Provide supervision to all staff. Enforce all Agency personnel policies and procedures fairly and in a consistent manner. Assist the Supervisor in completing employee performance evaluations as necessary. Monitor all activities and incidents within the facility and report any problems or concerns to the Supervisor. In the absence of the supervisor, ensure changes to scheduling and/or payroll changes are forwarded to the Administration Office. Provide consistent scheduling of all staff to ensure the safety of residents in the absence of the Supervisor. In the absence of the supervisor, coordinate with Agency administrative staff for the approval of overtime within the home. Promote an atmosphere in the consumer’s home that is positive, cooperative and secure. Avoid rumor, gossip, bringing personal business into the workplace that may negatively affect the consumer. Be respectful and sensitive of all staff and consumer’s cultural differences. Through the entire course of employment, must maintain an acceptable driving and criminal record, reporting any change immediately. Staff Development/Training Assist the supervisor with new employee orientation and training. Attend selected trainings which are of benefit to the Agency and/or facility. General Agency Management Keep the Supervisor informed about pertinent issues related to individuals' progress/needs, facility maintenance, staffing concerns and/or any other areas. Assist the Supervisor in ensuring that all required administrative forms, records, receipts and reports are completed, filed and/or submitted. Perform other activities within the established Agency policy as assigned.
