Responsibilities
  • Processes foundation disbursements, purchase orders and memberships, ensuring all documents are prepared, signed, distributed, and meet deadlines in accordance with Florida State University policies and procedures. Responsible for preparing, compiling, and maintaining records used to track purchasing and travel activity. Utilizes OMNI for processing invoices and reimbursements. Communicates directly with vendors and sales representatives during the procurement process. Serves as the travel representative for assigned faculty. Submits all travel authorizations, gathers documentation, and submits travel reimbursements. Makes all necessary travel arrangements to include hotel, flights, car rentals, etc. for faculty, staff, and students in accordance with Florida State University policies and procedures ensuring travel arrangements and reimbursements are processed in a timely manner.
  • Provides direct administrative and clerical support for educational activities to include assisting faculty with updating in the Faculty Expertise and Advancement System (FEAS), preparing continuing education documents from clinical psychologist, and ensuring credit for courses. Initiates appointment paperwork for departmental volunteers and assists faculty with DIS students. Prepares tracking documents and schedules of electives taught by department. Assists with updating Blackboard, SharePoint, and departmental website.
  • Supports the department Promotion and Tenure Committee with the preparation of meeting documents, maintenance of spreadsheets and the compilation and maintenance of documentation for tenure binders.
  • Assists with planning and arranging department social functions, meetings, and other events to include managing guest lists, sending invitations, making arrangements for venue, food, materials needed, etc. and following up with vendors ensuring purchase orders or payment arrangements are in place. Incumbent will be required to work evening and weekend hours as needed to assist with meetings and special events.
  • Assists faculty advisors with the coordination of student service-learning trips assuring all documentation are submitted and in compliance at the University and college level, all requirements are met for FSU Global Pathways and international travel, and travel arrangements are coordinated for group participants, to include faculty.
  • Promotes an atmosphere of teamwork in accomplishing the mission and goals of the Department of Behavioral Sciences and Social Medicine to include participating in the delivery of support services for special projects, scheduled events or in meeting key department deadlines. Runs occasional errands in support of events and COM business activities requiring the operation of a motor vehicle.
Qualifications
  • A high school diploma or equivalent and four years of experience. (Note: post high-school education and/or experience may substitute at a comparable rate.)
  • A valid State of Florida or Georgia Driver's License or the ability to obtain prior to hire.

  • Ability to maintain accurate records and retrieve files from active or archive sources. Basic filing practices to include numeric and alphabetic systems.
