The selected candidate will also serve as the Office Manager for the company headquarters in Newport Beach, CA. This position is required to be in the office daily, Monday through Friday. We are looking for a motivated and enthusiastic individual to fulfill the following responsibilities:
  • Prepare, edit, and review documents such as reports, presentations, executive summaries, and briefing papers.
· Calendar management and meeting scheduling (both in-person and via conference call) for the CEO. · Provide support for meetings and corporate events, including preparing agendas, document production and assembly, meals as needed, guest coordination, ordering supplies, etc. · Act as a liaison between the CEO and other executives, board members, clients, and external partners. Maintain strong working relationships and facilitate communication flow. · Take on ad-hoc projects and initiatives as directed by the CEO which may include conducting research, preparing reports, and presenting findings. · Assist with travel arrangements and creating/modifying itineraries as requested. · Handle sensitive and confidential materials and information as required. · Anticipate and provide excellent quality service to meet internal and external needs. · Perform various general office duties involving word processing, record and file maintenance, mail distribution, receiving and directing visitors and telephone reception, order office supplies, snacks for the office, etc. · Manage relationship with office building staff for maintenance, packages, building safety procedures, parking passes, etc. · Other duties as assigned. Skills and Qualifications · Bachelor's degree strongly preferred. · Minimum 7 years' experience supporting C-suite executives. · Excellent communication and organizational skills. · Proficient in Microsoft Office applications (Outlook, Word, Excel, and PowerPoint). · Proven ability to deliver quality, accurate work within established deadlines. · Excellent interpersonal skills including verbal and written communication. · Ability to independently prioritize workloads, meet deadlines and work in a fast-paced environment. · Previous experience with renewable energy or private equity investments helpful. Compensation and Location Compensation: The annual salary plus bonus range for this position is listed below. The actual salary and bonus offered will depend on the specific skills and experience of the selected candidate. Executive Assistant and Office Manager Salary $90,000-$110,000 Bonus 20% Location: Newport Beach, CA - Monday - Friday, 9:00 am to 5:00 pm.
